Welcome booklets, rack cards, room service menus and wedding and festive brochures
Hotels and guest houses print for two audiences: guests already in the building, who need an A5 welcome booklet and a wipe-clean room service menu, and people still choosing where to stay, who pick up a DL rack card or a wedding or festive brochure. This page shows what to print, today's prices, sample layouts, wording, timing and the pricing and rating rules to check.
A hotel's print has to inform guests, sell the extras and bring people back directly instead of through booking sites. These are the jobs we print most for hotels, B&Bs and guest houses.
In-room welcome booklets
Wi-fi, breakfast times, check-out, parking, fire procedure, the restaurant, the spa and the best walks nearby. A stapled A5 booklet with a card cover replaces the tired ring binder and answers the questions reception hears every evening.
Rack cards for visitors
DL cards in tourist information centres, attractions, stations and other hotels' racks (where they swap) reach people deciding where to stay or eat. Lead with the setting and the reason to stay.
Room service and restaurant menus
A laminated folded menu in every room for room service, and table menus for the restaurant and bar. They must survive a coffee spill and an anti-bacterial wipe.
Wedding brochures
Couples compare venues closely and want to show the brochure to family. A booklet with rooms, capacities, packages, sample menus and accommodation does the explaining after the show round.
Christmas and New Year packages
Festive lunches, party nights, two- and three-night breaks and New Year's Eve dinners. A brochure or folded leaflet from late summer, sent to past guests and left at reception, sells the season early.
Direct booking cards
A card left in the room or handed over at check-out with a direct booking code or a reason to book with you next time (a better room, late check-out) brings repeat guests back without the booking site's commission.
Meetings and events
Day delegate rates, room layouts and capacities for local businesses and clubs. A short folded leaflet answers the first enquiry.
Recommended leaflets for hotels and guest houses
What we would print for a hotel or guest house. The 'from' price is today's live price for the lowest-cost options; the example line is a configuration hotels often order.
A5, 8 to 24 pages, 130gsm to 170gsm silk, card cover
An A5 stapled booklet fits a bedside table drawer. A 350gsm cover with matt lamination keeps it looking new for months of guests; reprint when prices or times change instead of patching a binder.
The standard size for tourist and hotel leaflet racks. 250gsm stands up in a rack pocket; 350gsm feels like a brochure. Silk keeps photographs of rooms and views crisp.
Three packs: in-room print, rack leaflets for the visitor season, and the festive season with menus and party flyers. Each total is the listed lines at live prices.

When, where and how many
Hotel print splits into the steady in-room material and seasonal selling print that needs to land months ahead of the stay.
Wedding brochures are needed for the January to March fair season; festive leaflets go out from August; rack cards before Easter and summer.
When to print
In-room booklets and menus whenever times, prices or services change, and at least once a year. Festive leaflets by August for past guests and September for local offices. Wedding brochures before the January wedding fairs.
Rack cards need to be in racks by Easter, and topped up in the summer holidays.
How many
One booklet and one room service menu per room, plus a quarter again for spares. Rack cards: 1,000 to 2,500 DL cards spread across ten to twenty racks lasts most small hotels a season. Festive leaflets: enough for past guests, reception and local businesses, usually a few hundred.
Where
In every room, at reception, in tourist information centres, local attractions and other hotels' racks that swap, wedding fairs, local offices for Christmas parties, and posted to past guests who have agreed to hear from you.
What response to expect
In-room print is about service and spend per guest rather than response. For festive leaflets, past guests respond far better than cold contacts. Rack cards turn into a handful of bookings and restaurant visits per few hundred taken, more in a busy tourist town.
Paper, size and finish for hotels and guest houses
In-room print needs to last months of handling; selling print needs to look as good as the rooms.

Before you print: rules for hotels and guest houses
Hotel leaflets quote prices, grades and facilities. These are the points that most often need checking.
Prices must include unavoidable fees
Under the Digital Markets, Competition and Consumers Act 2024, an advertised price must include fees every guest has to pay, such as booking, cleaning or resort fees. Say whether the price is per room or per person and what it includes, and list genuinely optional extras separately.
Only show a quality grade, such as stars, or an award you currently hold, naming the scheme (for example VisitEngland or AA). Remove expired grades when you reprint.
A 'from' price should be available on a reasonable number of dates. If the lowest rate applies only midweek or out of season, say so next to it.
Accessibility and facilities
Describe step-free access, accessible rooms, parking and pet policies accurately. Guests with access needs plan around what the leaflet says, so 'accessible' should mean something specific.
This is a printer's checklist, not legal advice. Check the CMA's guidance and your rating scheme's rules, or ask trading standards, before you print.
Questions about leaflets for hotels and guest houses
What should go in a hotel welcome booklet?
Wi-fi details, breakfast and dining times, check-out time, parking, fire and emergency procedure, how to contact reception, room facilities, the restaurant and bar, any spa or leisure, and a short local guide. Put emergency information in the same place in every booklet, such as the back cover.
What size is a hotel rack card?
DL (99 × 210 mm) is the standard size for tourist and hotel leaflet racks. Print on 250gsm to 350gsm so it stands up, and put your name and reason to stay in the top third, which is all that shows in a rack.
How many welcome booklets does a hotel need?
One per room plus about a quarter again for damaged and taken copies. A 40-room hotel usually orders 50. Short runs are better: reprint when times or prices change instead of patching old copies.
Should room service menus be laminated?
Yes. They are handled with food and drinks and need to be wiped between guests. Matt lamination avoids glare under bedside lights. A 350gsm card folded to A5 with lamination on both sides is a common choice.
Do hotel prices on leaflets need to include all fees?
Yes. Under the Digital Markets, Competition and Consumers Act 2024, advertised prices must include unavoidable fees such as booking or cleaning fees. State whether prices are per room or per person and what is included.
When should hotels print Christmas brochures?
Send festive leaflets to past guests who have agreed to hear from you in August, and have them at reception and with local businesses from September. Office party organisers and families planning breaks often book by October.
Can you design our welcome booklet?
Yes. Send your text, photos and logo through our Artwork and Design Service. Every upload is checked automatically for size, bleed and resolution; add File check (£4.99) if you want a person to check the file before print.
