A cafe's best-working leaflets are small and kept: a stamp card on 350gsm uncoated card that lives in a wallet, and a DL or A5 takeaway menu on 170gsm that goes to the offices and flats within a ten-minute walk. Below are the products we would print, today's prices, sample layouts, ready-to-use wording and the allergen points to check.
Cafes live on regulars and on the people who walk past every weekday. Print for a cafe is about turning the second group into the first. These are the jobs we print most for coffee shops and tea rooms.
Loyalty stamp cards
The single most useful thing a cafe prints. Buy nine, get the tenth on us, stamped at the till. Regulars keep the card in a wallet or phone case for weeks, so it has to be card thick enough to stay flat and uncoated so the stamp ink dries straight away.
Takeaway and pre-order menus
A DL menu with your sandwiches, salads, cakes and drinks, plus a phone number or ordering link, lets office workers order ahead and collect without queueing. It sits on desks and in staff kitchens long after the coffee is gone.
Office and meeting platters
Sandwich platters, pastry boxes and coffee flasks for meetings are often a cafe's highest-margin orders. A flyer with prices per head, notice needed and delivery hours, left at receptions within half a mile, wins repeat orders from the people who book meeting rooms.
Opening and new-owner launch
A new cafe needs the street to know it exists. Hand out A6 flyers with a dated opening offer to people walking past in the first fortnight, and leave a stack at the gym, the library and the nearest office reception.
Counter and table menus
A wipe-clean menu on the tables and a larger one by the till stop people from reading the board over the barista's shoulder and holding up the queue.
Events and classes
Open-mic nights, craft clubs, baby groups, quiz evenings and book clubs fill the quiet hours. An A5 flyer with the dates for the whole term goes on the noticeboard and in every takeaway bag for a month.
Seasonal pre-orders
Christmas cakes, mince pie boxes, Easter treats and Mother's Day afternoon tea all sell better with a flyer that has a price, an order-by date and a collection window.
Recommended leaflets for cafes
What we would print for a cafe. The 'from' price is today's live price for the lowest-cost options; the example line is a real configuration cafes order.
Uncoated card takes rubber-stamp ink and biro without smudging, and 300gsm natural uncoated has the soft, slightly textured feel that suits a coffee shop. Print the offer on the front and the stamp boxes on the back.
DL fits a takeaway bag, a desk tray and a letterbox. Silk reads cleanly under office lighting and can be written on when someone ticks off a group order.
Brown kraft card matches paper cups, kraft bags and wooden counters. It suits a short offer card, a menu of the week or an events card. Dark ink reads best on it, so avoid pale colours and white text.
Each pack is real products with the options and quantities shown, priced live and added up. Nothing is discounted: the items cost the same bought separately, and delivery is charged once per order.

Layouts we drew for invented cafes. The same habits run through all of them: one offer, big enough to read in a queue, and the opening hours where people look for them.
These are sample designs we made to show layout and wording. The business names, numbers and addresses are invented.

Nine boxes, not ten: the tenth drink is the reward, which is what the headline promises.
Uncoated card means the stamp dries straight away and does not smear in a wallet.
The reward rule is printed on the card so staff never have to argue about sizes.

Put opening hours on every leaflet, including the time the kitchen stops serving food.
If a deal needs a minimum spend, a day or a size, put that next to the offer, not in the small print.
When, where and how many
Cafe customers come from a small radius, often under ten minutes on foot. Leaflets should go where those people already are.
September (back to work and school) and January (new routines) are when people pick a new regular cafe; December is for pre-orders and gift cards.
When to hand out
Weekday mornings between 7.30 and 9.30 are when the commuters and office workers you want are walking past. Hand out flyers on the pavement only where your council allows it, and keep the pavement clear.
Office lunch flyers do best in the first week of a month and the first week back after holidays, when teams plan meetings and lunches.
How many
Five hundred stamp cards and a thousand DL menus suits a single cafe for a season. For a street launch, 1,000 to 2,500 A6 flyers is plenty for two weeks of morning hand-outs plus offices.
Where
Office receptions, co-working spaces, gyms, libraries, the school gate noticeboard, nearby hairdressers and any business that will take a pile on its counter. Put a menu in every takeaway bag and a stamp card in every first-time customer's hand.
What response to expect
Hand-to-hand flyers near your door usually bring more visits than letterbox drops, because the person is standing a few metres from you. Expect some visits from every few hundred handed out on a weekday morning, and a much higher return from stamp cards, which by their nature only go to people who have already bought.
Paper, size and finish for cafes
For a cafe, the feel of the card matters as much as the print: it should match the cups, bags and counter.

White ink is not printed on kraft: anything white in your design shows as the brown of the card. Design kraft cards in one or two dark colours.
Stamp cards should not be laminated. Lamination stops stamp ink drying, and the card ends up smudged in the wallet.
Before you print: rules for cafes
Cafes sell food made on the premises and, often, pre-packed sandwiches from a chiller. Different rules apply to each.
Allergen information
You must be able to give customers accurate information about the 14 regulated allergens in every item. Menus can list them or tell customers to ask staff; for phone and online pre-orders, the information must be available before the order is finished and when the food is handed over.
Sandwiches, salads and cakes you wrap before the customer chooses them need a label with the name, the full ingredients list and allergens in bold. That rule is about labels on the food, not leaflets, but your menus should not contradict what is on the label.
Under the CAP Code, a promotion such as a free tenth drink should state its significant conditions: what earns a stamp, what the reward covers, and any end date. Print them on the card.
Homemade, freshly baked, organic, vegan and gluten-free must be true for the items they describe. Gluten-free has a legal threshold (20 parts per million or less), so many cafes say 'no gluten-containing ingredients' and explain the kitchen is not gluten-free.
This is a printer's checklist, not legal advice. Check current guidance with the Food Standards Agency and your local authority food team before you print.
Questions about leaflets for cafes
What is the best card for a coffee shop loyalty card?
300gsm to 350gsm uncoated card. It takes rubber-stamp ink and biro without smudging, stays flat in a wallet, and the slightly rough surface feels right for a cafe. Do not laminate stamp cards: lamination stops the ink drying and the stamps smear.
How many stamps should a cafe loyalty card have?
Most cafes print nine or ten boxes with the next drink as the reward. Fewer boxes bring people back sooner but cost more in free drinks; more than ten and many cards are lost before they are finished. Print the rule for what earns a stamp on the card.
What size should a cafe takeaway menu be?
DL (99 × 210 mm) printed on both sides is the most common, because it fits a paper bag, a desk tray and a letterbox and holds a short menu comfortably. Use A5 if you include office platters and catering with prices per head.
Can you print white on kraft card?
No. Kraft card is printed with standard inks, so any white areas in your design show as the brown of the card. Use dark colours such as black, dark brown or deep green, bold type and no pale tints.
Do cafes need allergens on their menus?
Not necessarily on the menu itself, but you must be able to give accurate information on the 14 regulated allergens. Many cafes print a line telling customers to ask staff. Pre-packed sandwiches made on site need full ingredient labels under the PPDS rules.
Where should a cafe hand out flyers?
Within ten minutes' walk: office receptions, co-working spaces, gyms, libraries and neighbouring shops, plus your own counter and takeaway bags. Some councils restrict flyering in the street or need a consent, so check before standing on the pavement.
Can you design our stamp card?
Yes. Send your logo, reward and wording through our Artwork and Design Service and we will set it up. Every upload is checked automatically for size, bleed and resolution, and File check (£4.99) adds a person looking it over before print.
